Shopify Rental Agreement: Get One Signed With Every Rental

By MerchantKits · November 4, 2026 · 6 min read

If you rent out equipment through your Shopify store, a signed rental agreement is what protects you when an item comes back late, damaged or not at all. Shopify takes the payment, but it has no way to get the customer's signature on your rental terms. This guide covers what a rental agreement should include and how to get one signed automatically with every rental order, on any Shopify plan and without changing checkout.

Who needs a rental agreement

Any Shopify store that hands over an item and expects it back. Common examples:

  • Outdoor and sports gear: bikes and e-bikes, kayaks, paddleboards, skis, camping equipment.
  • Events: party equipment, tents, furniture, décor, sound and lighting.
  • Cameras and tech: cameras, lenses, drones, audio gear, laptops.
  • Clothing: dresses, suits, costumes.
  • Tools and machinery: power tools, garden equipment, trailers.
  • Baby and travel gear: strollers, car seats, cots.

Whatever you rent, you need the same three things: the customer's agreement to your terms, proof of exactly what they signed and when, and a copy you can find in seconds if there's a dispute.

Rental agreement vs liability waiver

They're often confused, but they do different jobs:

Rental agreementLiability waiver
CoversThe terms of the rentalThe risk of injury
Typical contentRental period, return, deposit, late fees, damage and lossKnown risks, assumption of risk, release of liability
Protects you againstLate returns, damage, unpaid feesInjury claims, to the extent the law allows

If what you rent can hurt someone, like a bike, kayak or power tool, you usually want both. You can put them in one document so the customer signs once. For the waiver part, see how to add a liability waiver to Shopify.

What a rental agreement should include

  • The parties: your business and the customer's name, email and phone.
  • The item: what's rented, quantity, and its condition at handover (serial numbers for valuable items).
  • Rental period: pickup or delivery date and time, return date and time, and where to return it.
  • Deposit: the amount, when it's refunded and what can be deducted from it.
  • Late returns: the fee per day or hour.
  • Damage and loss: who pays for repairs or replacement, and how the amount is decided.
  • Permitted use: who may use the item, where, and what's not allowed.
  • Cancellation: what happens if the customer cancels.
  • ID check: if you check photo ID at pickup, say so.
  • Signature, printed name and date.

Keep it short and plain. A one- or two-page agreement gets signed quickly and is easier to rely on later. For high-value items, have a lawyer review your terms.

Step by step: rental agreements with SignShield

SignShield emails each customer a signing link as soon as they order a rental product. Checkout stays exactly as it is, so it works on Basic, Shopify, Advanced and Plus alike.

  1. Install SignShield from the Shopify App Store and start the 7-day free trial.
  2. Create the agreement. Start from the ready-made Rental Agreement template and edit the wording, write your own in the built-in editor, or upload the PDF you already use.
  3. Place the fields. Add a signature plus anything else you need: printed name, date, a text field for the return date or ID number, and checkboxes for terms the customer must confirm. Each field can be required or optional.
  4. Add optional sections. Parts that only apply to some customers, such as delivery and setup, insurance cover or a second item, can go in a conditional section. It stays covered until the customer ticks the matching box, and is marked "Not applicable" in the signed PDF otherwise.
  5. Link your rental products. SignShield only sends the agreement for orders that contain a linked product, so your regular sales are unaffected.
  6. Choose when it's sent: when the order is created, when it's paid, or manually from the order.
  7. Add a message, for example "Please sign before pickup and bring photo ID." It appears in the signing email, in reminders and at the top of the signing page.
  8. Place a test order and sign it on your phone to see exactly what your customer will see.

Every signed agreement becomes a PDF with a Certificate of Completion recording who signed, their email, IP address and when. It's sealed with a SHA-256 fingerprint and an independent timestamp, and anyone can check it on a public verification page. If a customer later disputes the damage terms, you can show exactly what they agreed to.

Pickup, countersigning and phone bookings

  • Countersign at pickup. On the Plus and Business plans, up to 3 people can sign one document in order. The customer signs first, then your staff member checks the item and countersigns at handover. Earlier signatures are locked, and one Certificate of Completion records everyone.
  • Phone and walk-in bookings. If a customer books by phone or email, send the agreement by typing their name and email, with no Shopify order needed.
  • Bookings far ahead. You choose how long signing links stay valid: 2, 7 or 14 days. If a link expires, the customer sees how to ask you for a new one, and re-sending is free.

If a customer doesn't sign

Because the agreement is signed after the order, set one clear rule and state it on the product page and in your policies: the rental is confirmed once the agreement is signed. Then:

  • Let reminders chase for you. SignShield sends up to 2 reminder emails, about 1 and 3 days after the request. They're free and don't count towards your plan.
  • Check before handover. The Signing Sessions page shows who has signed and who hasn't, so you can follow up before pickup or re-send the link with one click.
  • Don't hand over unsigned rentals. If someone arrives without signing, they can sign on their phone at the counter in under a minute.

Frequently asked questions

Can Shopify collect a signed rental agreement?

Not on its own. Shopify has no built-in signature step, and changing checkout requires Shopify Plus. An app such as SignShield emails the customer a rental agreement to sign as soon as they order, on any Shopify plan.

Is a rental agreement the same as a liability waiver?

No. A rental agreement sets the terms of the rental: dates, return, deposit, late fees and damage. A liability waiver covers the risk of injury when using the item. Many rental businesses need both, and they can be combined in one document.

Can my staff countersign the rental agreement?

Yes, on SignShield's Plus and Business plans. Up to 3 people can sign one document in order, for example the customer first and then a staff member at pickup. One Certificate of Completion records every signer.

Does SignShield collect the security deposit?

No. SignShield records the customer's signed agreement to your deposit terms. Collect the deposit the way you do today, for example as a separate product or in person at pickup.
